Responsibilities:
• Work closely with HR to organize various meetings and activities (e.g. the steering committee, employee and supplier activities, Departmental Training program / team Building/Outing, New Year party, Charity Events, etc.).
• Including prepare documents of the meeting, accommodation, transfer, venue, meal arrangement and the payment clearance with finance.
• Coordinate with various internal and external parties to ensure the programs can move forward in time.
• Provide general assistance to Dept.
• Office management: (public relationship).
• Deal with relationships with building management, landlord and various suppliers.
• Taking care of the decoration, repair, water supply, electricity, air conditioning system, plants maintain etc.
• The entire contract related with office management.
• Making government and company invitation letter of visa (tourism, business types) for incoming visitors, including requirement from internal staffs from time to time.
• Answer incoming phone calls (second main line in office.
• Dealing with expresses and letters, both domestic and overseas.
• Share working with reception to deal with interviewees and visitors. (show ways, greeting candidates, inform related managers or HR)
• Help to organize monthly birthday party.
• Assist Finance on sending monthly cash reimbursement notice and follow up payment approval process with RD.
• Supervise Receptionist to handle all the expenses bank/cash liquidations for Finance Dept, including various Events /activities, meetings, office supplies, staff phone bills, travel insurance, office decoration related, etc.
• Good command of basic PC knowledge including software and hardware.
• Support IT to remote control & operation.

• Mature personality with strong ability of communication, good interpersonal and networking skills.
• Ability to work independently as well as within a team.
• Demonstrated ability to thrive in a fast paced environment while managing tight deadlines.
• Well organized and able to prioritize.
• Strong computer applications skills (Microsoft Word, excel, PowerPoint, etc.
• Fluent English for both speaking and writing.
• Major in Administrative Management or related, Bachelor.
• At least 2-year working experience in multinational company.
• Have skillful project management experience would be a plus.
